Hybrid Hiring Fair
Mobile App, Check-in and Badge Printing
Jose Covarrubias Recruitment Support Technician
TCOE hosted hybrid hiring fairs with vFairs on the 11th, 18th and 22nd of March, 2023. All three events took place in different regions but had the same goal: to fill all the positions for teachers. The hiring fairs were equally beneficial for both on-site and remote attendees.
There were about 100-150 attendees across these events. The on-site candidates were highly impressed with the badge printer that had all their information. It really helped to distinguish representatives of schools and candidates through different badge colors. The badges also had a brief description of candidates looking for typical positions or classified positions, which made it easier for school reps to identify those candidates.
Virtual attendees could easily access the job board and apply for vacant positions in one go! The mobile app was another highlight of the event that was a great tool to share candidate resumes, track booth visits and boost networking.

Virtual Attendees
TCOE was hosting its events virtually. Now, they were interested in shifting that to a hybrid format to engage people across regions in-person. As this was their first time hosting a hybrid event, the main challenge was to cater to both virtual and on-site attendees and fill all positions.
The primary objective of TCOE for organizing a hybrid event was to promote greater engagement and accessibility to a wider range of audiences. By hosting a hybrid event, TCOE aimed to bridge the gap between the physical and virtual worlds, ensuring that all candidates, regardless of their location or availability, could participate in the hiring fair. The hybrid event provided more options for candidates to engage with recruiters, attend sessions, and network with peers, resulting in a more inclusive and effective recruitment process.
Another challenge was going in-person post-pandemic and ensuring ease for on-site attendees. They had to host an in-person event post-pandemic while simultaneously ensuring convenience and comfort for on-site attendees.
The mobile app was a great addition to the hiring fair as it played a crucial role in enhancing attendee engagement. It allowed attendees to keep track of the people they interacted with during the event and provided an easy way to follow up with them later.
Moreover, the badge printer also proved to be useful as it efficiently printed badges with attendees’ information. Attendees were impressed by how quickly badges were printed, and the event staff was impressed with how easy and efficient it was to use. Overall, both the mobile app and badge printer helped to create a positive and engaging experience for attendees at the TCOE hiring fair.
For attendees participating virtually, the virtual booths provided all the necessary information through graphics, documents, and external links, allowing them to easily access the resources they needed. Additionally, the event offered a virtual swag bag, which allowed attendees to download and save resources they found valuable to refer to later on. This ensured that attendees could take away the information they were most interested in and continue to benefit from the resources even after the event had ended.
Since 2018, TCOE has been skillfully conducting virtual job fairs in collaboration with vFairs, garnering a reputation for seamless and efficient execution. However, this time, they aimed to create hybrid events to cater to both on-site and virtual attendees, and once again turned to vFairs, inspired by the success of their previous events.
The mobile app was the highlight of the TCOE hybrid events. QR code scanning and contact exchange were new for the exhibitors and they were pretty impressed. They also liked the booth layout on the mobile app which helped them understand where everything is at the venue. The mobile app turned out to be a great tool for sharing candidates’ resumes seamlessly. The mobile app also enhanced networking, which was one of their main goals. Attendees could track who they interacted with and later follow up on them.
The TCOE hybrid hiring fairs were executed with remarkable efficiency, resulting in more than 100 on-site attendees per event. However, the count increased even further for virtual attendees. vFairs played a crucial role in ensuring that the experience was equally enjoyable for both on-site and virtual attendees. They made certain that the bridge between the two audiences was flawlessly managed. Here are some key statistics:
